1.   Introduction

As part of the services available at www.apgo.org and other APGO-controlled websites APGO collects certain types of information about users.

2.   Types of data we collect

A.   Personal Data

We collect information that allows APGO to identify you or contact you as part of our business activities. APGO collects this information for a number of business reasons including but not limited to, membership, meeting registration, uWISE setup, donations, and other APGO activities.

The types of personal data we collect include but are not limited to:

  • Names, dates of birth, home and business addresses, email addresses, internet protocol addresses, mobile/landline business/personal telephone numbers and other general information provided by our applicants and donors.
  • Credit card processing data (payments are processed but no credit card information is stored)
  • Professional data such as past internships, career history, academic achievements, APGO service, meeting participation, and medical license number
  • Other identification information such as photographs
  • Financial information such as credit and debit card numbers, passwords and PIN numbers for donations and service fees.
  • Other personal data such as race, ethnic origin, sexual orientation and disability data, collected for diversity or accessibility purposes

B.   Non-Personal Data

We also receive data that does not directly identify you as you interact with our sites. This non-personal data includes:

  • Site usages (browsing history, search terms, numbers of clicks, referring and exit pages, date/time stamps, time on site)
  • Computer type, operating system and platform
  • Internet service provider

3.   How your data is used

A.   Personal Data

In addition to the uses described above we use your data in a variety of ways including, but not limited to the below:

  • Identify yourself when you visit our websites
  • Provide information on our programs
  • Respond to emails and other online enquires and requests
  • Personalize the usability of the site
  • Show in the membership directory accessible to other APGO members

B.   Non-Personal Data

We use non-personal data to improve the usability of our websites.

How we share your data

We share your data, sometimes combined with non-personal data in a variety of ways including but not limited to the below:

  • Meeting registration lists provided to attendees (first, last, suffix, institution, city, state, zip)
  • Mailing labels sold to members,  exhibitors and sponsors (address 1, address 2, first, last, suffix, institution, city, state, zip)
  • Association surveys and campaigns

4.   How you can manage your data

You can manage your profile and email preferences, including “opting out” of email and .  hiding some or all of your information from the membership directory and online community Our processing of your data is based upon your consent, performance, legitimate business interest, or compliance with law.

5.   Children

We do not knowingly collect personal data or market to children under the age of 13.

6.   Data Protection

APGO implements commercially reasonable security measures to help protect against unauthorized access to or unauthorized alteration, disclosure, or destruction of data. Except for our website vendors, Yourmembership.com and Amdee, our learning management system (LMS), Crowd Wisdom, our virtual meeting platforms SpotMe and GTR, and our race management vendor, Proquo, we restrict access to personal data from any other outside company.

7.   Other Sites

Be aware that other websites linked from the APGO website or emails may contain privacy provisions that are different from this privacy policy. To ensure your privacy is protected, we recommend that you review the privacy statements of these other linked sites.

8.   Accessing, Changing, and Deleting Your Personal Data

We rely on you to keep your personal data correct. If you use our sites, or other services, you can update and correct your information directly on the website or by contacting us using the information in the “Contact Us” section below. Typically, we retain your personal data for the period necessary to fulfill the purposes for which it was obtained, unless a longer retention period is required or permitted by law. This may include retaining your personal data indefinitely even after your use of APGO services is complete, in order resolve disputes, enforce agreements, comply with legal obligations, or other purposes.

Please note that you can request, at any time, that we delete your personal data. Requests for such must be directed to the contact in the “Contact Us” section below. We can decide to delete your personal data if we believe that the data is incomplete, inaccurate, or that our continued use and storage is contrary to our obligations to other applicants, individuals, or third parties. When we delete your personal data, it will be removed from our active databases or anonymized so that the data is no longer identified with you, but the data may remain in our archives if APGO determines that it is not practical or possible to delete it.

9.   Cookie Usage

Our website sends cookies (pieces of code or text placed on your computer when you browse our sites) to your web browser (if your browser settings allow it) to collect data when you browse our sites. Cookie settings can be controlled in your internet browser to automatically reject some forms of cookies. APGO does not use information stored through cookies for promotional or marketing purposes and does not share that information with third parties. Personal information, including your name, address, and credit card number when making a purchase through our site, is encrypted through SSL (secured sockets layer) to protect it as it travels to our servers and is processed by our banking provider. 

10. Transmission of Data to Other Countries

Your personal data is processed in the United States, where privacy laws may be less stringent than the laws in your country. By submitting your personal data to us, you agree to the transfer, storage, and processing of your personal data in the United States.

11. Breach Notification

In the event we determine the occurrence of a data security incident, we will notify you by email, US mail, telephone, or other means as permitted by law.
