Poster Presenters

Welcome! This page provides key details for preparing and presenting your poster at the 2026 CREOG & APGO Annual Meeting in Seattle. Please review carefully to ensure your poster meets conference guidelines and deadlines.

Poster Overview

Posters will be printed and displayed on-site in the Exhibit Hall throughout the meeting. Attendees will also be able to view posters digitally through the meeting app.

  • Judging: Posters will be reviewed by judges in early January
  • Awards: Winners will be announced on Friday, February 20 in the meeting app.

Poster awards are judged based on the following categories: originality, clarity of writing, importance to specialty and discipline of medical education, objective/purpose, methodology, results & conclusions, and overall presentation.

Checklist for Poster Presenters

To confirm participation and stay on track, please complete the following:

  • Accept participation by October 10 (via the CoASIS Portal. Use your MyACOG account email address and password to log in)
  • Upload final PDF poster (required for judging and award consideration) by December 29. (Judging takes place in early January and winners are announced on Feb 20).
  • Submit speaker information, biography, and photo by January 16
  • Register and pay for the meeting
  • Book hotel reservations at the Hyatt Regency or Hyatt at Olive 8 (see Travel Tab for details)
  • Print and bring your poster to display on-site in the Exhibit Hall.

Presenter Attendance

To enhance engagement, presenters must be present with their poster during the following Exhibit Hall events:

These times provide valuable opportunities to discuss your work, answer questions, and network with attendees. You will be able to leave your poster to eat lunch during the designated lunch break.

Poster Printing & Display Guidelines

All posters must be printed and displayed in person. You may:

  • Print your poster prior to the meeting and bring it with you, or
  • Use the on-site printing service (details to come).

Poster Size Requirements

  • Posters must fit on a bulletin board that is 4 feet tall × 8 feet wide.
  • Maximum dimensions: 3.5 feet tall × 7 feet wide.

Display Requirements

  • Tacks for hanging posters will be provided.
  • Setup: Wednesday, February 18, between 1:00 – 4:00 pm
  • Removal: Friday, February 20, between 2:00 – 3:00 pm
    (Any posters left after 3:00 pm will be discarded.)
  • Please do not leave poster tubes or containers in the Exhibit Hall—they will be discarded after setup.

Tips for Creating a Compelling Poster in Medical Education

A well-designed poster should tell a clear, engaging story that captures attention within seconds. Use these best practices to make your work stand out:

  • Craft a Clear, Logical Flow

    Organize content in a natural progression—left to right or top to bottom. Include these key sections:
  • Background: Why the study or innovation matters
  • Objectives: What you aimed to explore or improve
  • Design/Program Description: How you approached it
  • Results/Evaluation: Key outcomes and data
  • Conclusions: What you discovered
  • Future Plans: How others can build on your work
  • Make It Visually Engaging
  • Use large, easy-to-read fonts (title ≥72 pt, headings ≥36 pt, body ≥24 pt).
  • Choose clear, contrasting colors and limit your palette to 2–3 main tones.
  • Incorporate graphics, charts, or photos that can be understood within a minute.
  • Avoid walls of text—use bullet points, icons, or visual breaks to guide the reader.
  • Simplify and Emphasize
  • Focus on one central message—what do you want attendees to remember?
  • Keep text concise; use short phrases and keywords.
  • Avoid using ALL CAPS and minimize jargon.
  • Ensure data visualizations highlight your most important findings.
  • Add a Human Element
  • Include images or brief quotes that reflect your learners, faculty, or community impact.
  • Frame your work as a story: What challenge did you address? What changed as a result?
  • Engage During Poster Sessions
  • Prepare a 2-minute summary of your project to share when attendees stop by.
  • Be approachable—invite conversation and encourage feedback.
  • Have business cards or QR codes linking to your institution or contact info for follow-up connections.

By following these guidelines, you’ll create a visually appealing and intellectually engaging poster that effectively showcases your innovation and contributes to advancing medical education.
